Summary
The Administrative Assistant-Speakers Sales Team provides highly responsible and comprehensive administrative, organizational and sales support to members of the sales team of the Speakers agency. This role is client, customer and co-worker facing. This person performs a variety of tasks related to organization and communication, including communicating via phone and email to ensure that all duties are completed accurately and delivered with high quality and in a timely manner. This role requires attention to detail, solid organizational and time management skills, professionalism, confidentiality, and a working knowledge of business needs.

Primary Responsibilities
- Completion of assigned work within set parameters, consistently meeting deadlines while adapting to shifting priorities
- Working within HubSpot to maintain client/contact and other information integrity
- Completing vendor forms, following up on payments and contract status
- Preparing and following up on contract deadlines and coordinating sales team, client and speaker correspondence
- Accurately entering data into forms, Excel spreadsheets, HubSpot, expense reports, contracts, and the tracking of contract amendments
- Maintaining sales team calendars; booking and revising travel arrangements
- Act as a liaison and reliable resource between the sales team, staff and/or speaker clients and customers
- Provide administrative backup coverage as needed, including answering phones, taking messages, and other general administrative duties as may be assigned
Educational requirements
- 5 plus years of prior experience as an Administrative Assistant – required
- Demonstrated proficiency in Microsoft Outlook, Word, Power Point, Excel, and Adobe Acrobat
Other qualifications we’re seeking in a candidate

Anticipated Compensation Range: (Actual compensation within this range will be dependent upon the individual’s skills, experience, and qualifications) $55,000 to $60,000 annually.
