Summary
The Contracts Support Specialist supports the general business operations of the Speakers Sales team, including, tracking the lifecycle of the speaking engagement contract from inception to event date. They also collect and issue payments and proactively investigate/resolve problems.
RESPONSIBILITIES OF THE ROLE
- Review and edit contracts created by Sales team, for accuracy and format
- Accurately enter contract information into excel database including payment and invoicing due dates
- Manage excel database information throughout the life of the contract, by tracking, maintaining, and implementing changes as needed
- AR/AP tasks including collecting all receivables and making payments to speakers to close out event contracts
- Represent the company by interacting with customers to resolve problems including payment and invoicing issues without damaging key relationships
- Resolve speaker/customer issues independently
- Invoice customers for travel expenses related to events
- Proficiently complete vendor forms in a timely manner with company information to receive payments from some customers that require registration
- Review large quantity of daily emails checking for changes to contract details, following direction of what changes are needed and efficiently filing into appropriate folders while ensuring all emails, pertaining to this position, are answered in a timely manner
- Monthly sales and commission reports in addition to other ad hoc reports as needed
QUALIFICATIONS WE’RE SEEKING IN A CANDIDATE:
Education
- Associates degree or equivalent
Other Qualifications
- 2+ years contract administration experience in an office environment
- Superior Excel skills required
- Superior attention to the smallest of details is required in this role
- Demonstrated aptitude for spelling, grammar, and sentence structure
- Microsoft 365, Word, Outlook, and Adobe
- QuickBooks & DocuSign, a plus
